This Privacy Policy explains how we collect, use, share, and safeguard information when you use our website, platforms, and services — including recruitment and hiring, Employer of Record (EOR), short-term project staffing, virtual assistance, and our AI-powered hiring tools. By accessing or using Betternship, you consent to the practices described in this Policy.

This Policy is issued in line with the Nigeria Data Protection Act, 2023 (NDPA) and other applicable data protection laws.

1.0 Information We Collect

1.1 Candidate and Talent Information

When you create an account, apply for a role, or are sourced through our platforms, we may collect your name, email address, phone number, location, educational background, professional experience, CV/resume, portfolio links, references, test and assessment results, interview recordings or notes, and right-to-work or identification documents where required for a role.

1.2 Employer and Client Information

When your organisation engages Betternship for recruitment, EOR, short-term projects, virtual assistance, web design, or any other service — or when you sign up to use our hiring tools — we may collect:

  • Company details: registered business name, RC number, business address, industry, company size, and website.
  • Contact person details: full name, job title, email address, phone number, and professional profiles (e.g. LinkedIn) of the representatives who interact with us on your behalf.
  • Engagement information: role descriptions, job specifications, compensation budgets, interview feedback, hiring decisions, and other details you share to help us deliver the service.
  • Billing and financial information: billing contact, billing address, tax identification number (TIN), invoicing details, and bank or payment processor references needed to collect fees or remit salaries and statutory payments under EOR arrangements.
  • Compliance and contractual documents: signed service agreements, NDAs, statements of work, and any documentation required for regulatory or audit purposes.
  • Workforce data (EOR and VA clients): where we act as your Employer of Record or deploy virtual assistants on your behalf, we may collect and process information about the workers you engage through us, including payroll, tax, pension, and attendance data, strictly for the purpose of administering that engagement.

1.3 Platform and Usage Information

We may collect non-personal information about how you interact with our website and platforms, including IP address, browser type, device information, pages visited, and session activity. We use this to improve user experience, secure the platform, and analyse usage patterns.

1.4 Information from Third Parties

We may receive information about you from referees, background-check providers, previous employers you have listed, publicly available professional profiles, and partners who refer business to us.

2.0 How We Use Your Information

2.1 Service Delivery

We use the information you provide to match candidates with opportunities, source and screen talent on behalf of clients, administer EOR and payroll obligations, assign virtual assistants, deliver web design and HR services, and operate our AI-powered hiring tools.

2.2 AI-Assisted Screening and Assessments

Where you use our AI hiring tools, candidate CVs, test responses, and related application data may be processed by AI models (including models hosted by trusted third-party providers) to rank, shortlist, or summarise applications for the employer. Employers remain responsible for the final hiring decision; our tools are designed to assist, not replace, human judgement.

2.3 Communication

We may contact you about opportunities, applications, active engagements, invoices, account and service updates, and other matters relevant to your use of Betternship. With your consent, we may also send you marketing communications, which you can opt out of at any time.

2.4 Billing and Compliance

We use client and billing information to issue invoices, process payments, remit statutory deductions under EOR engagements, and meet our tax, regulatory, and audit obligations.

2.5 Research and Improvement

We may analyse aggregated and anonymised data to improve our services, train and evaluate our tools, benchmark market trends, and share insights with partners.

3.0 How We Share Information

3.1 Between Candidates and Employers

When you apply for a role or are shortlisted, we share your application and relevant profile information with the employer or client for that role. When an employer posts a role or engages us, we may share the employer’s company information with relevant candidates to facilitate the process.

3.2 Service Providers and Sub-processors

We share information with trusted third parties that help us run our business, including cloud hosting providers, email and communication tools, calendar and scheduling providers, AI model providers used within our hiring tools, payment processors, background-check vendors, and accounting or payroll partners. These providers are bound by contract to protect your information and use it only for the purposes we specify.

3.3 Legal and Regulatory Disclosures

We may disclose information where required by law, court order, or a lawful request from a regulator, or where we believe disclosure is necessary to protect our rights, enforce our agreements, or safeguard the rights and safety of our users or the public.

3.4 Business Transfers

If Betternship is involved in a merger, acquisition, restructuring, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.

4.0 Data Retention

We retain personal and company information for as long as your account or engagement with us is active, and thereafter for as long as necessary to meet legal, tax, regulatory, or legitimate business requirements. Candidate profiles may remain in our talent database so we can consider you for future opportunities unless you ask us to delete them.

5.0 Security Measures

We take reasonable technical and organisational measures to protect your information from unauthorised access, disclosure, alteration, or destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6.0 Your Rights and Choices

Subject to applicable law, you have the right to access, correct, update, delete, or restrict the processing of your personal and company information, object to certain uses, request portability of your data, and withdraw any consent you have given. You can exercise these rights by logging into your account or by contacting us. You may unsubscribe from marketing communications at any time by following the instructions in those emails.

If you have a complaint about how we handle your information, you may also lodge it with the Nigeria Data Protection Commission (NDPC).

7.0 International Data Transfers

Some of our service providers and clients are located outside Nigeria. Where we transfer information across borders, we take steps to ensure it is protected to a standard consistent with this Policy and applicable law.

8.0 Children’s Privacy

Betternship is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will take prompt steps to delete it.
